1. Introduction

This manual is published in terms of section 51 of the Promotion of Access to Information Act, 2000 (PAIA). It explains what records Beremi Scholar Transport holds and how you may request access to them. It should be read together with our Privacy Policy, which deals with personal information under POPIA.

3. Information Officer

Requests under PAIA must be directed to our Information Officer who can be contacted at beremi.trans86@gmail.com. The Information Officer is responsible for deciding on requests for access to records.

4. The PAIA Guide

The Information Regulator has published a guide on how to use PAIA. It is available in each official language from the Information Regulator: website inforegulator.org.za, email PAIA@inforegulator.org.za.

5. Records we hold

We hold records in categories that may include:

• client and registration records, such as parent and learner details and route and service records;
• operational records, such as route plans, attendance, vehicle and safety records, and camera footage;
• financial records, such as invoices, payments and statements;
• staff records for our drivers and chaperones; and
• statutory records we are required by law to keep.

Not all records are automatically available. Access is subject to the grounds for refusal set out in PAIA.

6. How to request access

A request must be made on the prescribed PAIA request form and sent to the Information Officer at the contact details above. Please describe the record you want clearly, explain the right you are trying to exercise, and tell us how you would like to receive the record. Proof of identity is required.

7. Fees

PAIA allows us to charge a request fee and an access fee, as set out in the regulations. We will let you know what is payable before we process your request. Requests for your own personal information are handled in line with POPIA and the prescribed fees.

8. Grounds for refusal

We may refuse access on the grounds set out in PAIA, for example to protect another person’s privacy, third-party commercial information, or confidential information, or where a record is legally privileged.

9. Remedies

If we refuse a request, we will give reasons. You may then lodge a complaint with the Information Regulator or apply to court, as provided for in PAIA.
